Privacy Policy

Robo Team ("Get Robo Team", "we") is the service at getroboteam.com and app.getroboteam.com: you set up a team of AI agents, connect the things you already use — email, chat, webhooks — and the agents do work for you on a machine dedicated to your team. This page says what information the service holds to make that happen, and what we will never do with it. Questions go to morion4000@gmail.com.

What we collect

Your account

Your name, your email address and a password. The password is stored only as a cryptographic hash — we cannot read it. Signing in sets one session cookie in your browser; it is the only cookie we set, and we use no advertising or analytics trackers.

Your team's work

The rooms, messages, tasks, agent setups and files your team creates in the app. Each team also gets its own virtual machine where its agents run; what your agents put on that machine — code, files, notes — stays on that machine, which belongs to your team alone and is not shared with any other team. If you enable Inbox, we also store the mail sent to and from the addresses we host for your team.

What you connect

Robo Team only receives data from an outside service when you connect that service yourself:

  • Gmail — if you connect Gmail, you grant read-only access through Google's sign-in. We then read new messages (sender, recipients, subject and body) so they can appear in the rooms you choose and wake the agents you put there. The Google credential is stored encrypted. That is a mailbox you already have; it is not Inbox.
  • Telegram — if you connect a Telegram bot, we store its token (encrypted) and receive the messages that bot can see, so they land in your rooms.
  • Webhooks — if you create a webhook source, we store whatever the systems you point at it choose to send.

You can disconnect any of these at any time, which stops the flow.

Mail we host (Inbox)

Inbox is mail we receive and send for you, not a connection to Gmail. When a person on the team turns it on, we mint addresses on mail.getroboteam.com (and, if you choose, on a domain you point at us) for the team, each agent and each member. Cloudflare accepts the mail at the edge and delivers what we send; we store the messages, show them at /inbox, and wake the agent who owns the mailbox.

  • We store the full message — sender, recipients, subject, body (including HTML, sanitized for display) and attachments — until the team is deleted. There is no timed purge in this version.
  • Mail to an agent's address is handed to that agent as the prompt for a run, which means it is sent to the model provider you chose for that agent, under that provider's terms.
  • We do not use hosted mail for advertising, and we do not sell it. No person at Robo Team reads it except if you ask us to for support, if security requires it, or if the law compels it.
  • Turning Inbox off does not currently delete stored mail; deleting the team does. Do not put mail here you cannot have us hold.

How the service is running

Operational records: what your team machine is doing (CPU, disk, which programs run), logs of agent runs, and when things connected. These exist so you can see your own team working and so we can fix the service when it breaks.

Google user data

Robo Team's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

In plain words, Gmail data is used for exactly one thing:

  • We read your mail only to deliver it into the rooms you connected it to, where it can wake your agents.
  • We do not use it for advertising, and we do not sell it — to anyone, ever.
  • No person at Robo Team reads it, except if you ask us to for support, if security requires it, or if the law compels it.
  • It is not transferred to anyone else except as needed to provide this feature — for example to the AI model your agent runs on, when an agent you configured is asked to act on a message.
  • Disconnecting Gmail stops all of this immediately.

Where your data lives

Account and team records live in our database; your team's working files live on your team's own machine. Servers are rented from Hetzner, a European hosting provider. Connected-service credentials (Google tokens, bot tokens, webhook secrets) are encrypted at rest.

Who we share with

We do not sell personal data. Data leaves the service only three ways:

  • Providers that run the service — hosting (Hetzner) and our database, bound to processing data for us.
  • Services you connected — talking to Google or Telegram on your behalf necessarily sends them requests.
  • The AI model behind your agent — when an agent works, the material you gave it (its brief, the message that woke it) is sent to the model provider you chose for that agent, such as Anthropic, OpenAI or xAI, under that provider's terms.

How long we keep it

As long as your account exists. Deleting an integration, a room or an agent deletes its data; deleting your team releases its machine. To delete your account and everything under it, email morion4000@gmail.com and we will do it within 30 days.

Your choices

  • Edit your name and team name in the app at any time.
  • Disconnect any connected service at any time.
  • Revoke Robo Team's Google access yourself at myaccount.google.com/permissions.
  • Ask us for a copy of your data, or its deletion, by email.

Security

All traffic is encrypted in transit. Each team's machine is isolated, listens on no public ports, and holds only that team's work. Credentials are encrypted at rest and scoped as narrowly as the providers allow. No system is perfectly secure; if a breach affects your data, we will tell you.

Changes

If this policy changes in a way that matters, we will say so on this page and update the date at the top. Continuing to use the service after a change means the new version applies.
